TEAM CHECK-IN INSTRUCTIONS 


 

 

There are two options for Check-in available to accepted teams:

  1. Electronic check-in via your GotSoccer account due by midnight on 2/28. 
    No exceptions will be made for late submissions.  

  2. In-person Team Check-in will be available ONLY 30 minutes prior to first game time. In-person check-in location will be held at the tournament headquarters.  

 

Option 1:  Instructions for Electronic Team Check-in

  • All documents are due by February 28 at midnight. Please allow enough time to gather info and get required signatures.
  • Documents must be submitted in pdf format and saved separately.
  • The contacts within your GotSoccer team account will be notified by March 5 if your documents submitted for electronic registration have been approved. 

Step 1:  Preparation and gathering of Required Documents

Each document must be saved separately and only pdf documents will be accepted. 

  • To begin: Complete the Team Information Sheet and Safety Document (these 2 documents are combined) linked here.  (note: you will need your team registration/confirmation number - click here for how to find it)
    Then save as a pdf to submit with the documents required below.
    • Official Roster:  Submit a COPY of your current, approved official roster – cross off any players that will not be participating and also write the name, birthdate and jersey # at the bottom of the roster copy for all guest players (note: a player may play for only one team for the duration of the event) Important note:  Rosters and cards may not be mixed.  Example: a player with a USYS card may not appear and submit that card for participation on a US Club Soccer team within the event.  If you have previously submitted your roster, you must resubmit it electronically. (see bottom of page reminders area for permitted roster sizes and number of permitted guest players)
    • Player and Coach Passes:  Copies of the 2017-18 player AND coaches passes - All passes must have photos. Note: Secondary players participating in the event must appear on your official roster, and a copy of their primary team player pass must be included. Scan all passes into ONE PDF document. 
    • Game Line-up Sheetlinked here and required for all teams – one copy signed by coach.  
    • Permission to Travel – required only for USYS teams outside of Region I. Not required for US Club Soccer Teams.
      1. Important Note:  Guest players playing on teams that are required to request permission to travel might also need permission to travel.  Again, we would then require proof of their permission to travel form with your team.  Please check with your state or governing organization for the procedures for guest players and also for permission to travel.
    • Team Information Sheet/Safety Document – as linked from above and signed by the coach.

Step 2:  How to electronically submit each of the above documents.

These must be submitted SEPARATELY by uploading the pdf of the document under the correct document label within your GotSoccer account.

  1. Log into your GotSoccer account
  2. Click on the Penn Legacy Academy Cup tournament
  3. Go to Documents tab – select each document label and upload separately for each required document.

IMPORTANT: On March 3 you will be notified via an email to the team contacts listed in your GotSoccer account if your electronic check-in has been approved.

Teams that submitted electronic documents for check-in will be notified on the 5th if their team has or has not been approved.
Teams NOT approved will be required to check-in IN PERSON 30 minutes prior to their first game at tournament headquarters. 

Reason for non-approval can be found on your team documents tab under documentation notes.
There will be no exceptions.

Option 2:  For In-person Team check-in your team representative must provide the following at check-in 30 minutes prior to first game at tournament headquarters.

  1. Official Roster:  Your official current approved roster should have been submitted following your application.  If not, please submit it now, by faxing to 717.459.7511 or emailing to: showcase@pennlegacy.org
  2. At check-in we will ask you to cross off any players that will not be participating and also write the name, birthdate and jersey #’s at the bottom of the roster copy for guest players that will be participating.   3. Player and Coach Passes:  Your actual 2017-18 player AND coaches photo ID passes – not copies. Must have photos on each. Note: Secondary players participating in the event must appear on your official roster, and you must submit the primary team player pass.
  4. Game Line-up Sheetlinked here and required for all teams – one copy signed by coach. Teams may submit 22 player rosters but may only dress 18 players for each game and a game lineup sheet listing 18 players must be submitted to the referee prior to the start of each game.
  5. Permission to Travel – required only for teams outside of Region I
